Work process for customs declaration and shipment of goods

As a documentary officer, you need to have a certain foreign language foundation, and you must also understand international trade terms, understand some foreign trade knowledge and international geography knowledge, and learn some related product knowledge. The document staff is mainly responsible for making all kinds of documents required for shipment.
 
一. Shipment by sea:
1. When receiving the PI and manufacturer contract between the salesperson and the customer, you need to check the relevant content: the actual packaging size and weight of the goods, and check with the salesperson or after-sales whether the goods have been checked and accepted and the specific delivery time. After confirmation, make a letter to the designated freight forwarder to arrange the booking.
 
2. After receiving the warehouse delivery note provided by the freight forwarding company, pay attention to the warehouse address and order cut-off time, and provide the goods mark and warehouse delivery note to the salesman.
 
3. After the salesman and the manufacturer confirm that it has been shipped. Then we must follow up whether the goods are in the warehouse. If the goods are not in the warehouse, we must report to the salesman in advance.
 
4. Make the documents (customs declaration documents and customs clearance documents) (the content should be based on the PI provided by the salesperson). After the preparation is completed, provide the customs declaration information (invoice, packing list, customs declaration, declaration elements) to the salesperson to confirm whether the content is correct or not . After confirming that it is correct, provide the relevant customs declaration information (customs declaration, invoice, packing list, declaration elements, power of attorney) to the freight forwarder to enter the customs declaration process, obtain the sailing date and estimated arrival time from the forwarder, and inform the salesperson to update it to the customer.
 
5. At the same time, make customs clearance documents (CI&PL&BL/Certificate of Origin (according to customer needs)). Because sometimes the forwarder provides the confirmation of the bill of lading not so timely, we can make the confirmation in advance to let the customer confirm the content, and confirm whether it is the original or telex, and then provide the confirmation for the forwarder to make the same content. If the customer needs a certificate of origin, first make a certificate of origin according to the contents of the bill of lading, and then provide the manuscript of the certificate of origin to the customer. After the customer confirms, the original will be issued, and the original or scanned copy will be sent according to the customer's needs. (Although the production methods are different for different origin certificates, the most important point is that the content should be consistent with the customs clearance document)
 
6. After the freight forwarder declares to the customs, ask the forwarder to pre-record the release order. According to the title, provide the pre-recorded form to the financial staff. After the actual sailing, confirm the arrival date with the freight forwarder and inform the salesperson to ensure that the latest date is updated to the customer.
 
7. After confirming the customs clearance documents, the customer asks whether the bill of lading is original or telex. Generally speaking, there are basically these two types: if the voyage is short, it is recommended that the bill of lading be released by telex.
If it is telex, you need to ask the forwarder for the telex guarantee template, and then fill in the guarantee according to the bill of lading, and then scan the scanned copy to provide the forwarder. If we need to pay for the cost, please provide the freight forwarder to provide a list of costs.
Check the fees. Some of the fees are too high. According to the actual situation, you can ask the freight forwarder whether there is a discount, and then let the freight forwarder issue the invoice. Then make a payment application based on the billing content and submit it to the finance for review and payment. After receiving the payment voucher, send it to the freight forwarder, and then collect the original or telex.
8. Finally, send out customs clearance documents or provide relevant scanned copies according to customer needs.
 
二. Express customs declaration and shipment
After the customs declaration information is completed, first confirm to the salesman, and then need to send the original stamped original. One copy of the customs declaration form, power of attorney, and declaration elements, and three copies of the invoice and packing list, all of which need to be stamped and delivered to the courier. Provide CI&PL and waybill to the salesman at the same time.
 
三. Shipment by air
The operation process is the same as sea shipping. The difference is: after sending the entrusted agent letter in the early stage, you also need to fill in the guarantee documents and list required by the freight forwarder, and you also need to send the original. Before sending the original, you can first provide the guarantee document and list to the forwarder for confirmation, or send it after being stamped and scanned to the forwarder.
 

Note: All customs clearance documents are consistent. Check carefully after completing each document. All documents are organized and archived, and you must be careful when preparing documents.
